Submitting Coursework as a PDF: A Checklist That Portals Accept

By Shahid Iqbal · Published

Most university and college portals want a single PDF, under a size limit, that opens cleanly. Here is a tested, step-by-step way to get there from a Word file, scanned pages, or phone photos.

Start from the right source file

If your work is in Word, convert it with our Word to PDF converter (it takes both .doc and .docx). The PDF keeps your text as real, selectable text, and Heading styles become bookmarks. One thing to watch is fonts: common fonts such as Calibri and Arial keep your layout and page breaks, while some newer fonts -- including Aptos, Microsoft 365's newer default -- can make text rewrap. If the layout matters, see our guide on why a PDF's layout sometimes shifts, and check the PDF before you submit.

Handwritten or photographed pages

For handwritten answers or a page you can only photograph, take a clear, well-lit picture of each page. If the photos are iPhone HEIC files or web WEBP files, convert them to JPG first (our HEIC to JPG tool handles iPhone photos), then combine them with our JPG to PDF converter, adding them one at a time so the page order is right.

Photo PDFs can come out very large, because each page is a full-resolution picture. If yours is too big, resize the photos before converting -- our guide on turning photos into one PDF shows how and why Compress PDF alone often can't shrink them.

Combine everything into one PDF

If your submission is in pieces -- a cover sheet, the main document, an appendix of photos -- put them in the required order and join them with our Merge PDF tool. Adding files one at a time is the simplest way to control the order.

Get under the size limit

If the portal has a maximum file size, try our Compress PDF tool. It helps most when the PDF contains scanned pages or photos; a text-only PDF is already small and may not shrink further, and our tool simply returns the original unchanged if it can't make it smaller. For a photo-heavy PDF, resizing the photos before you build the PDF is the more reliable fix. We don't promise an exact final size -- that depends on your file.

Final checks before you submit

Make sure it is one PDF, that it opens cleanly, that the pages are in the right order and readable, and that it is under the portal's size limit. Open the finished file and scroll through it once. Everything you upload and every file we return is deleted from our server as soon as your download is ready.
